INSTITUTIONAL PROFILE

The Zambian Open University (ZAOU) is an institution of high standing both locally and internationally, which is registered with the Higher Education Authority (HEA), and whose vision is “to be an internationally recognized Open University providing quality education through distance and blended learning.” The University is now looking for self-motivated and suitably qualified individuals to fill the following positions:

  1. 1. REGIONAL MANAGER (Southern Province) (01)

1.0 Purpose: To provide strategic direction, leadership and excellence in the development and management of University programmes and activities at regional level.

2.0 Key responsibilities

  • Promoting the University Vision, Mission, Core Values and Strategic Objectives in all aspects of regional activities;
  • Contributing to the development and successful implementation of the University policies, Strategic Plan, Annual Work Plans and Annual Budgets;
  • Marketing/promoting the University programmes and services;
  • Facilitating recruitment, admission and registration of students;
  • Managing  the    development    and    delivery    of    extension    programmes    (short courses/workshops/seminars and conferences);
  • Managing the storage and distribution of teaching and learning materials (modules, assignments and related instructional resources);
  • Providing responsive learner support services;
  • Managing the Regional Centre’s human, financial and material resources;
  • Securing and managing physical facilities required for university activities;
  • Facilitating the recruitment, training and supervision of part – time lecturers/tutors;
  • Arranging and managing residential schools and local tutorial services;
  • Supervising marking of assignments by part –time lecturers/tutors;
  • Managing examinations;
  • Liaising with relevant/collaborating/partner institutions and organisations;
  • Establishing and supervising district study centres, where appropriate;
  • Producing periodic reports on all the activities of the Regional Centre;
  • Teaching in one’s area of specialization;
  • Performing any other duties that may be assigned by the University Management.

3.0 Qualifications and Experience

  • School Certificate
  • Bachelor’s Degree in Adult Education or any related field in Education or Social Science.
  • Master’s degree in Adult Education or any related field in Education or Social Science.
  • At least  five  years  relevant  professional  experience  preferably  in  an  educational institution.

4.0 Skills and personal attributes

  • Strong interpersonal skills and exceptional writing and oral communication skills
  • Proven computer  skills  including  ability  to  manage  computer  based  administrative databases, and student record management system.
  • Good planning and organization skills
  • Strong team leadership skills and ability to motivate and inspire subordinates
  • Demonstrable problem solving and decision-making skills

  1. 2. ACCOUNTANT (01)

Job Purpose: The Accountant assists the Bursar in planning, implementing, monitoring and

controlling of Finance Department’s activities.

Main Accountabilities

  • Directing and monitoring the activities of the Accounts Department;
  • Assisting the Bursar in preparing the University’s Annual Budget;
  • Assisting the Bursar in preparing Quarterly Management Accounts;
  • Assisting the Bursar in preparing draft Financial Statements for audit purposes;
  • Ensuring correct posting of accounting transactions to the general ledger;
  • Reconciling bank accounts;
  • Reconciling debtors and creditors ledgers;
  • Updating students’ records on a daily basis;
  • Monitoring receipting and daily banking of cash;
  • Ensuring prompt payments to all University’s suppliers of goods and services;
  • Attending to accounting queries on a daily basis;
  • Preparing payroll;
  • Monitoring expenditure to keep it within budgetary estimates;
  • Giving advice on financial implications of business decisions;
  • Advising and supporting all University Units in making financial decisions;
  • Performing the duties of the Bursar in his/her absence; and
  • Performing any other duties as may be assigned by Management from time to time.

Qualifications and Experience

  • School Certificate
  • Full ACCA/CIMA or equivalent
  • A registered member of ZICA
  • At least Associate Membership of ZICA, ACCA or CIMA
  • Minimum of five (5) years post-graduation accounting experience, preferably in a tertiary education institution
  • Demonstrated analytical, administrative and financial management skills.

  1. 3. ASSISTANT ACCOUNTANT (REVENUE) (01)

(a) Job Purpose: The Assistant Accountant assists the Accountant in planning, implementing, monitoring and controlling of Finance Department’s activities.

(b) Main accountabilities:

  • Preparation of the University’s Annual Budget;
  • Preparation of Quarterly Management accounts;
  • Preparation of draft Financial statements for audit purposes;
  • Reconciliation of the bank accounts;
  • Reconciliation of debtors and creditors ledgers
  • Updating students’ records on a daily basis;
  • Monitor receipting and daily banking of cash
  • Attending to accounting queries on a daily basis;
  • Prompt payments to all University’s suppliers of goods and services;
  • Performing the duties of the Accountant in his/her absence; and
  • Performing any other duties as may be assigned by management from time to time.

(c)  Qualifications and Experience

  • School Certificate
  • Bachelor’s Degree in Accounting from a reputable university
  • Fully qualified NATECH/ATDAAT or partly qualified ACCA/CIMA
  • At least Licentiate Membership of ZICA , ACCA or CIMA
  • A Registered member of ZICA
  • Minimum of two (2) years post-graduation accounting experience, preferably in a tertiary education institution; and
  • Demonstrated analytical, administrative and financial management skills.

(d) Attributes

  • Must have high levels of personal and professional integrity
  • Must have  excellent  interpersonal  skills  including  the  ability  to  inspire subordinates;
  • Must be reliable, self-confident and humble; and
  • Must be self-motivated and a team player
  1. 4. ACCOUNTS ASSISTANT (01)

(e) Job  Purpose:  To  perform hands-on accounting duties under the supervision  of the

Accountant.

(f)  Main accountabilities:

  • Receipting and processing payments;
  • Maintaining accounting records;
  • Bank reconciliations;
  • Performing any other duties as may be assigned by Supervisor from time to time.

(g) Qualifications and Experience

  • School Certificate
  • Fully qualified NATECH/ATDAAT or partly qualified ACCA/CIMA/ZICA
  • At least Technician Membership of ZICA , ACCA or CIMA
  • A Registered member of ZICA
  • Minimum of two (2) years post-graduation accounting experience, preferably in a tertiary education institution; and

(h) Attributes

  • Must have high levels of personal and professional integrity
  • Must be reliable, self-confident and humble; and
  • Must be self-motivated and a team player
  1. 5. ACCOUNTS CLERK (03) – (CHIPATA, KITWE AND LIVINGSTONE)

(a) Job Purpose: Performing essential accounting duties at the Regional Office under the supervision of the Regional Manager.

(b) Responsibilities

  • Maintaining database, ensuring that records are complete and current
  • Recording information, processing and filing forms
  • Updating ledgers, researching and resolving discrepancies
  • Process accounts payable
  • Process accounts receivable
  • Process disbursements
  • Reconciling bank statements
  • Preparing expense vouchers and receipts
  • Abiding by all University accounting procedures and National accounting principles

(c)  Qualifications and Experience

  • School Certificate
  • Diploma in Accountancy recognized by the Zambia Qualifications Authority (ZAQA)
  • A Registered member of ZICA
  • At least two (2) years working experience in accounting.

(d) Attributes

  • Comprehensive knowledge of Accounting procedures and principles
  • Ethical behavior when dealing with sensitive financial information
  • Courteous, professional manner, strong customer service skills
  • High level of accuracy and efficiency
  • Exceptional verbal and written communication skills
  • Attention to detail
  • Computer literacy and strong typing skills, experience with accounting software

6. IT TRAINING COORDINATOR

(a) Job Purpose
To coordinate and market IT training programs at the ICT Training Centre based at the Ben Bella Road Campus of the University

(b) Main Responsibilities

  •  Coordinate IT training in the ICT Directorate
  • Market IT training programs
  • Delivery short IT training programs

(c) Qualifications and Experience

  • MSc or BSc Degree in Computer Science or Information Technology
  • MCSE or Data Analytics certifications
  • 3 years working experience in providing short IT courses
  • Good working experience in Microsoft applications
  • Good marketing skills will be an added advantage
